1. Introduction and Acceptance of Terms and Conditions

1.1. Thank you for choosing TheTravelTroupe. We strive to ensure you have an unforgettable travel experience. To ensure clarity, please read, understand, and agree to these ‘Terms and Conditions’ along with our Privacy Policy, Refund, and Cancellation Policies before booking any tour or service with TheTravelTroupe. By using our services, you acknowledge and agree to be bound by these Terms and Conditions. If you do not agree with any part, please refrain from proceeding with our services.

1.2. These ‘Terms and Conditions’ apply to all group tours, customized holidays, and other services or products for domestic, international, or inbound travel organized by TheTravelTroupe.

1.3. TheTravelTroupe reserves the right to interpret these ‘Terms and Conditions’ as deemed appropriate.

1.4. TheTravelTroupe reserves the right to amend, vary, add, or waive any term or condition in this document.

1.5. In situations of force majeure or changes in government policy, TheTravelTroupe reserves the right to replace any part of these ‘Terms and Conditions’ with alternative provisions.

1.6. Each of these ‘Terms and Conditions’ is severable, and if any provision is declared invalid or unenforceable, the remaining provisions will still be effective.

1.7. These ‘Terms and Conditions,’ along with any booking-related communication, represent the entire agreement between TheTravelTroupe and you.

1.8. An agreement is considered finalized between TheTravelTroupe and you once the initial registration deposit is received.

2. Definitions

2.1. TheTravelTroupe refers to the brand name under which TheTravelTroupe Limited operates.

2.2. ‘Website’ refers to any online platforms operated by TheTravelTroupe for booking tours and related services.

2.3. ‘Tour’ means any domestic or international travel package organized by TheTravelTroupe.

2.4. ‘Customized Holiday’ refers to travel arrangements tailored to a client’s specific needs.

2.5. ‘Client’ or ‘Guest’ or ‘You’ refers to any individual or party who books a service or tour with TheTravelTroupe.

2.6. ‘Tour Manager’ refers to an individual designated by TheTravelTroupe to accompany and assist guests during a group tour.

2.7. ‘Force Majeure’ refers to events beyond the control of TheTravelTroupe, such as natural disasters, delays, political unrest, or pandemics, which may affect the operation of tours.

3. Booking and Payment

3.1. To book a tour, the client must make a payment to TheTravelTroupe by bank transfer, mobile money, or any accepted online payment method.

3.2. The registration deposit varies based on the tour type and is non-refundable. This payment secures a place on the tour but does not guarantee tickets or reservations until receipt of full payment.

3.3. Full payment for the tour must be made 45 days before departure. Bookings made within this period require immediate full payment. Late payments may result in booking cancellation and forfeiture of deposits.

3.4. If full payment is not received within the specified timeframe, TheTravelTroupe reserves the right to cancel the booking without refunding the registration deposit.

3.5. Prices are subject to change based on factors such as currency fluctuations, changes in transportation costs, and other factors beyond TheTravelTroupe’s control.

3.6. Payments made using credit cards or mobile money may be subject to a convenience fee, which is non-refundable.

3.7 Package inclusions (e.g., accommodations, meals, activities) are provided in the itinerary provided to the clients.

3.8 Costs not explicitly mentioned, such as travel insurance or personal expenses, are excluded.

4. Cancellation and Refund Policy

4.1. All cancellations must be submitted in writing to TheTravelTroupe through email.

4.2. The cancellation date is the date on which TheTravelTroupe receives the written request. Cancellation charges will apply based on this date.

4.3. Cancellation charges are as follows:

  • More than 120 days before departure: 20% of the tour price
  • 91 to 120 days before departure: 25%
  • 61 to 90 days before departure: 30%
  • 46 to 60 days before departure: 35%
  • 31 to 45 days before departure: 40%
  • 16 to 30 days before departure: 45%
  • 6 to 15 days before departure: 75%
  • 5 days or less before departure or on-tour: 100%

 

4.4. In cases of force majeure, TheTravelTroupe may offer clients an option to transfer their booking to a future date without additional cancellation charges, subject to availability.

4.5. Refunds will be processed within 10 working days after receiving the final confirmation of cancellation from the client.

4.6. Refunds will be issued through the same payment method used for the booking. TheTravelTroupe is not responsible for any additional costs or charges incurred through independent arrangements.

5. Changes and Amendments

5.1. TheTravelTroupe reserves the right to amend the tour itinerary due to unforeseen circumstances such as weather conditions, local events, or any operational reasons.

5.2. If changes involve additional costs, these will be communicated to the client, who will bear any such costs if they wish to proceed with the changes.

6. Cancellation of the Tour by TheTravelTroupe

6.1. TheTravelTroupe reserves the right to cancel any group tour/ package due to any operational reason or inadequate participation of the guests required to operate a group tour.

6.2. In such cases, the cancellation of the tour will be communicated to the guest on their registered email, telephone, or SMS.

6.3. The amount paid by the guest will be refunded within 10 working days of cancellation of the tour.

6.4. Refunds will be processed via bank transfer or mobile money, depending on the original mode of payment.

6.5. TheTravelTroupe will not be liable to pay any interest on the refunded amount.

6.6. TheTravelTroupe is not responsible for any additional expenses related to arrangements made independently by the guest, such as flights or accommodations outside of the booked tour.

6.7. Guests wishing to transfer their booking to another tour can do so in consultation with a Travel Advisor. Any excess or shortfall in payment for the new tour will be refunded or collected as applicable.

7. Liability and Limitation of Services

7.1 Service Scope

TheTravelTroupe acts as an intermediary between clients and educational institutions, visa authorities, and related service providers. We do not guarantee admission or visa approval as final decisions rest with the respective authorities.

7.2 Limitation of Liability

TheTravelTroupe is not liable for any losses or damages arising from delays, cancellations, or rejections of school admissions or visa applications.

7.3 Client Responsibility

Clients are responsible for ensuring they meet all requirements set by educational institutions and immigration authorities. TheTravelTroupe is not liable for outcomes related to the client’s failure to meet these requirements.

8. Governing Law and Dispute Resolution

8.1 Jurisdiction

These Terms and Conditions shall be governed by the laws of the Republic of Ghana, and any disputes will be subject to the jurisdiction of Ghanaian courts.

8.2 Dispute Resolution

In the event of any dispute, both parties agree to seek an amicable resolution through mediation before resorting to legal action. Any unresolved disputes will be settled in a court of competent jurisdiction in Ghana.

9. Confidentiality and Data Protection

9.1 Data Use

We respect your privacy and are committed to protecting your personal information. Information provided for the purpose of admission and visa services will be kept confidential and used only for the intended purpose.

9.2 Third-Party Sharing

Information may be shared with schools, consulates, and other necessary third parties to facilitate your application process.

9.3 Client Consent

By using our services, you consent to the collection and use of your data as described in our Privacy Policy.

10. Acceptance of Terms

Study Abroad Packages

1. Introduction and Acceptance of Terms and Conditions

1.1 Scope: These Terms and Conditions apply to all services provided by TheTravelTroupe (“we,” “us,” or “our”) for Study Abroad Packages. This includes services for identifying educational institutions (“universities”, “colleges”), applying for admissions, visa support, and other related services. By engaging our services, the client (“you” or “your”) agrees to abide by these Terms and Conditions.

1.2 Acceptance

By signing a contract for any of our packages, you acknowledge that you have read, understood, and accepted all the Terms and Conditions outlined in this document. If you do not agree with any part, please do not proceed with our services.
1.3 Modification of Terms:

 TheTravelTroupe reserves the right to amend these Terms and Conditions at any time. Any changes will be communicated through email and updated on our website. Your continued use of our services following any changes will constitute acceptance of the new Terms and Conditions.

2. Packages Offered

2.1 Basic Package: Includes services for identifying suitable schools and programs based on your preferences and qualifications.


2.2 Essential Package: In addition to the shortlisting services, this package includes the submission of applications to selected schools and guidance throughout the admission process.


2.3 Essential Plus Package: Includes all services under the Admission Package, along with comprehensive visa application support, including document preparation and mock interviews.


2.4 Premium Service Package: Offers a complete service package, covering school selection, application management, visa support, flight to destination, pick up service and accommodation support. We will assist in reapplying for a visa if an initial application is denied.

3. Payment Terms

3.1 Basic Package:

  • 50% payment is required upon signing the contract to begin the consultation process.
  • The remaining 50% is due before delivering the shortlist of selected schools.
  • Payments must be made in the specified currency. Any currency conversion fees will be borne by the client.

3.2 Essential Package:

  • 50% of the total fee is payable upon signing the contract to initiate the admission process.
  • 30% of the total fee is due upon the submission of the first application to any shortlisted school.
  • The remaining 20% is due upon receipt of the first admission offer. Payment delays may result in a suspension of services.

3.3 Essential plus Package:

  • 50% of the total fee is payable upon signing the contract to initiate the admission and visa support process.
  • 30% of the total fee is due upon submission of the first school application.
  • The remaining 20% is due upon submission of the visa application. Clients will bear any costs related to resubmission in case of visa denial.

3.4 Premium Service Package:

  • 50% of the total fee is payable upon signing the contract to initiate comprehensive services, including school selection, applications, and visa support.
  • 30% of the total fee is due upon submission of the first school application.
  • The remaining 20% is due once the visa has been obtained and before the client’s departure to the study destination. Payment delays may result in suspension of further assistance.

3.5 Payment Methods:

 Payments can be made through bank transfer, credit card, or other methods as specified in the invoice. All payments must be made in the designated currency. Clients are responsible for any transaction fees or charges incurred.

4. Refund Policy

4.1 General Refund Conditions:

  • Refunds are only applicable to the extent outlined in these Terms and Conditions and are processed within 15 working days of approval.
  • Refund requests must be made in writing and sent to our official email address.
  • Refunds will be processed back to the original payment method.

4.2 Refunds for Basic Package:

  • If you choose to cancel services before any shortlist is provided, 50% of the total package fee is refundable.
  • No refunds are provided after the shortlist has been delivered.

4.3 Refunds for Essential Package:

  • If you cancel before any applications are submitted, 60% of the total package fee is refundable.
  • If applications have been submitted but no admissions have been received, 30% of the total fee is refundable.
  • No refunds will be provided once an admission offer has been secured.

4.4 Refunds for Essential Plus Package:

  • If the visa application is denied, we will assist with one reapplication at no extra charge. If the client chooses not to proceed with a reapplication, a 20% refund of the total package fee will be provided.
  • If the client cancels after visa submission but before a decision, 30% of the total package fee is refundable.
  • No refunds will be provided after visa approval.

4.5 Refunds for Complete Service Package:

  • If the visa is denied, we will assist with one reapplication at no extra charge. If the client does not proceed with the reapplication, a 20% refund of the total package fee will be granted.
  • If the client cancels before visa submission, 40% of the total package fee is refundable.
  • No refunds will be issued after visa approval and before departure to the study destination.

5. Visa Support and Responsibilities

5.1 Visa Application Assistance:

 TheTravelTroupe will provide guidance and support in gathering necessary documents and preparing the visa application.

5.2 Reapplication in Case of Denial

In case of a visa denial, we will assist with one reapplication free of charge. Any additional reapplications will incur an extra fee.

5.3 Client Responsibility:

 The client is responsible for providing accurate and complete documentation. TheTravelTroupe cannot be liable for visa denials due to misrepresentation or incomplete information provided by the client.


5.4 No Guarantees

While we offer support in the visa process, TheTravelTroupe cannot guarantee visa approval or processing times as decisions rest solely with the immigration authorities of the respective countries.

6. Cancellation by TheTravelTroupe

6.1 Right to Cancel

TheTravelTroupe reserves the right to cancel services if the client fails to provide necessary information or documents in a timely manner, or if payment deadlines are not met.
6.2 Refund in Case of Cancellation by TheTravelTroupe:

 In such cases, refunds will be processed based on the services already provided and calculated according to the stage of completion of the service.

7. Liability and Limitation of Services

7.1 Service Scope
